Privacy Policy

1. Who we are
This platform ("the Platform") is a registration service for WRO (World Robot Olympiad) events, operated by Lumabyte and used by event organizers, including Build Future Minds Foundation, to run their own events. Each event organizer is independently responsible for the events they host on the Platform. This policy covers how the Platform itself — the shared infrastructure, accounts, and registration flow — handles personal information.
2. Information we collect
We collect the following categories of information:
- Coach account information. Email address, and (when available from USEL) name and organization name.
- Team and registration information. Which team and event a coach registers for, the season pass used, and registration status.
- Limited information about minors. Team rosters may include a minor team member's first name and last initial only (e.g. "Alice A."). We do not collect a minor's full name, date of birth, address, phone number, or any other identifying information. This data comes to us from USEL (US Engineering League), not directly from the minor — see §5.
- Payment information. Entered directly into Stripe's checkout flow. We never receive or store full card numbers; we retain only an opaque Stripe transaction reference.
- Usage data. Standard analytics data (pages visited, general location, device/browser type) collected via Google Analytics. See §7 (Cookies).
3. How we use information
- To operate passwordless (magic-link) sign-in and maintain your session.
- To verify eligibility for an event against your USEL season pass.
- To process event registrations and payments, and send confirmation, receipt, and event-related emails.
- To produce event-day rosters for the organizer running the event.
- To understand aggregate usage of the Platform and improve it.
We do not sell personal information, and we do not use it for advertising or share it with data brokers.
4. Who we share information with
We share information with the following service providers, only as needed to operate the Platform:
- USEL (US Engineering League) — coach email, to verify season-pass eligibility and retrieve team rosters. USEL is the source of truth for team and pass data; we read from USEL, we do not write back to it.
- Stripe — payment processing.
- Resend — transactional email delivery (sign-in links, receipts, event notices).
- Google Analytics — aggregate traffic analytics.
- Neon and our hosting providers — database and application infrastructure.
We may also disclose information if required by law, or to protect the rights, safety, or property of the Platform, its users, or others.
5. Children's privacy
The Platform is intended for use by adult coaches and event organizers. Minors do not create accounts, log in, or otherwise directly interact with the Platform. The limited information we hold about minors (first name and last initial, as part of a team roster) is provided to us by USEL, based on information a coach or parent already provided directly to USEL — not collected by us directly from a child. We retain this information only as long as described in §6, and it is used solely to produce event rosters for the organizer running the event a team is registered for.

6. How long we keep information
- Minors' roster information is automatically deleted 730 days after a registration reaches a final status (confirmed, cancelled, or refunded).
- Sign-in links are single-use and expire after 15 minutes; we never store the raw link, only a one-way hash of it.
- Coach account and registration records are otherwise retained to maintain historical event records and support. You may request deletion of your coach account at any time — see §8.
7. Cookies and analytics
We use a strictly necessary, first-party session cookie to keep you signed in — this does not require consent under most privacy frameworks. We also use Google Analytics, which sets its own cookies to measure site traffic. If you are located in a jurisdiction that requires prior consent for analytics cookies (for example, the EU/UK under GDPR, or California under the CCPA/CPRA), you may decline analytics tracking by using your browser's cookie controls or an ad-blocking extension; declining does not affect your ability to use the Platform.
8. Your rights and contact
You may request access to, correction of, or deletion of your personal information, or ask us any question about this policy, by emailing info@bytewiseholding.com. We will respond within a reasonable time.
9. Changes to this policy
We may update this policy from time to time. We will update the "Last updated" date above when we do. Material changes will be communicated to registered coaches by email.
